आपकी HOD का inbox आज सुबह: 30+ नई emails. वो ठीक से शायद 10 ही खोलेंगी।

Subject line 1: "hello sir" (और वो sir हैं ही नहीं)।

Subject line 2: (खाली)

Subject line 3: "BCA Sem 1: Request for medical leave, 3rd to 5th July"

इनमें से आज ध्यान से सिर्फ एक ही पढ़ी जाएगी। Email writing का मतलब यही है: हर बार email नंबर 3 बनना।

Theory

एक digital चिट्ठी, जिसमें doorbell भी लगी है

एक formal email असल में चिट्ठी ही है, बस digital कपड़ों में: वही politeness, वही structure, बस delivery तेज़। लेकिन इसमें एक चीज़ है जो चिट्ठियों में कभी नहीं थी: subject line, यानी एक doorbell, जो तय करती है कि दरवाज़ा अभी खुलेगा, बाद में खुलेगा, या कभी नहीं। चिट्ठी तो पहुँच गई तो खुल ही जाती थी, लेकिन email को अपना click खुद कमाना पड़ता है।

Theory

सातों हिस्से, order में

1. To: address, जो 2 बार check किया हुआ हो

2. Subject: 10 शब्दों के अंदर पूरा purpose

3. Greeting: "Dear Professor Sharma," (name और title सही)

4. Opening line: आप कौन हैं और क्यों लिख रहे हैं

5. Body: एक से 3 छोटे paragraphs, हर paragraph में एक ही point

6. Action line: आप उनसे exactly क्या करवाना चाहते हैं

7. Sign-off: "Regards," + पूरा नाम, course, roll number

यही एक ही skeleton teachers के लिए, offices के लिए, internships और HRs के लिए, सबके लिए चलता है, बस content बदलता है।

इसमें course का नाम है, क्या चाहिए वो है, और कौन सा दिन है वो भी है: पढ़ने वाले को email खोले बिना ही पता चल जाता है कि इसका purpose और urgency क्या है। "Important!!" priority का दावा तो करता है पर कमाता नहीं, "Request" से कुछ पता ही नहीं चलता, और greetings का जगह email के अंदर है, उसकी doorbell पर नहीं। यहाँ specific होना, ज़ोर से चिल्लाने से बेहतर है।

Body का structure: intro, details, action

Body को 3 steps में सजाइए:

1. Introduction: "I am Rupesh Mali, BCA Semester 1, Roll 42."

2. Details: situation को छोटे और factual तरीके से। Dates, names, specifics.

3. Action required: "Kindly confirm whether the viva can be shifted to Thursday."

Action line वही चीज़ है जो ज़्यादातर students भूल जाते हैं: जो email कभी बताती ही नहीं कि उसे चाहिए क्या, उसे sympathy तो मिल जाती है पर reply नहीं।

हर सुधार किसी न किसी rule से जुड़ा है: असली subject, सही greeting, अपना introduction, exact dates, एक clear action, कोई SMS वाली spelling नहीं, और details के साथ sign-off।

Theory

Tone: वो dress code जो दिखता नहीं

  • Politeness के शब्द काम आते हैं: please, kindly, thank you
  • कोई slang नहीं, emoji नहीं, SMS वाली spelling नहीं (u, plz, 2day)
  • पूरे sentences, सही grammar
  • कभी भी ALL CAPS नहीं: वो चिल्लाने जैसा लगता है
  • छोटे paragraphs: text की दीवार खड़ी कर दी तो पढ़ने वाला चौथी line में ही खो जाता है

सीधा सा नियम: अगर वो चीज़ notice board पर आपके नाम के साथ छपी हुई गलत लगेगी, तो email में भी गलत ही है।

भूला हुआ attachment पूरी दुनिया के offices में email की सबसे common गलती है, और इसका इलाज दिमागी नहीं बल्कि procedural है: send से पहले 15 second का एक pass, जिसमें subject, greeting, clarity, sign-off और attachment सब check हो जाएँ। ऐसी बार बार होने वाली छोटी गलतियों के लिए checklist हमेशा memory से बेहतर होती है।

Subject specific है? Greeting सही है (name, title, spelling)? Body छोटा है, हर paragraph में एक point? Action साफ लिखी है? Sign-off में पूरा नाम और course details हैं? Attachment सच में attach हुआ है? 6 checks, पंद्रह seconds, और आपकी email quality ज़्यादातर working professionals से ऊपर पहुँच जाती है।

Reply-all और गुस्से वाले नियम

शुरू में ही 2 career बचाने वाली बातें: भेजने से पहले देख लीजिए कि आप एक ही person को reply कर रहे हैं या पूरी list को, और गुस्से में लिखी email कभी मत भेजिए: draft save कर दीजिए, एक घंटे बाद दोबारा पढ़िए। Emails permanent होती हैं, forward हो सकती हैं, और screenshot भी हो सकती हैं; हर email ऐसे लिखिए मानो principal भी उसे पढ़ सकते हैं।
