Theory
Four people, one spreadsheet, no chaos
Priya's team is now all editing the survey sheet at once. Two worries: someone might accidentally change the raw data, and when one person filters to their slice, it changes the view for everyone. Also, scrolling down 200 rows, the header row disappears.
Each worry has a Sheets tool. Sharing itself is easy, it uses the same roles as Docs (Viewer/Commenter/Editor). What is new here are the spreadsheet-specific collaboration controls: freezing headers, per-person filter views, and protecting ranges.
This lesson closes the Sheets unit with the tools that keep a shared spreadsheet orderly.
Theory
Shared desk, personal magnifying glasses
Four people around one big shared desk (the sheet). You do not want everyone forced to look at the same corner, so each gets a personal magnifying glass (a filter view) to examine their own section, while the desk itself stays unchanged for the others. And you glue down the labels at the top of the page (freeze) so nobody loses track of which column is which. Shared work, personal views, stable headers.
At a glance
Sheets collaboration controls
| Control | Does | Same as / new |
|---|---|---|
| Sharing roles | Viewer / Commenter / Editor | Same as Docs |
| Freeze rows/columns | Keep headers visible on scroll | BCA105 freeze panes |
| Filter views | Each person filters own view | New (collaboration) |
| Protected ranges | Restrict editing of set cells | Like Excel protect, per-person |
Theory
Freeze, filter views, protect
- Freeze (View > Freeze): pin the top row (headers) and/or a left column so they stay visible while scrolling, exactly the BCA105 freeze-panes idea, now in the cloud.
- Filter views: each collaborator applies their own filter without changing what others see (versus a normal filter that changes everyone's view). Parallel analysis, no conflict.
- Protected ranges/sheets: restrict who can edit specific cells or a whole tab in a shared file, so the raw-data tab cannot be altered by accident while others still edit the summary.
Sharing is the same Viewer/Commenter/Editor model as Docs, apply least privilege.
Quiz
Priya wants the team to edit the Summary tab but NOT accidentally change the raw Data tab. What Sheets feature does this within a shared file?
- Protected ranges/sheets, restricting edits to the Data tab while the Summary stays editable
- Freezing the Data tab
- A filter view on the Data tab
- Sharing the file as Viewer to everyone
Show the answer
Protected ranges/sheets, restricting edits to the Data tab while the Summary stays editable
Protected ranges/sheets let the owner restrict editing of specific cells or tabs within a shared file, so the Data tab becomes read-only (or editable only by Priya) while the team still edits the Summary. Freezing (headers) and filter views (personal filtering) do not restrict editing; sharing everyone as Viewer would block all editing. Protection is the per-range edit control, the Sheets cousin of Excel's protect.
Think first
Why filter views, not a normal filter?
In a shared sheet with four people analysing at once, why is a normal filter a problem, and how do filter views solve it?
Show the answer
A normal filter changes the view for everyone in the shared sheet, so when Priya filters to 'first-years', Karan suddenly sees only first-years too, disrupting his own analysis. Filter views give each person a private filtered view that does not affect anyone else's screen, so all four can slice the data differently at the same time. In a solo sheet a normal filter is fine; in a shared one, filter views are essential. It is collaboration-aware filtering.
Watch out
Where marks leak
Not reusing the Docs sharing model (Viewer/Commenter/Editor) for Sheets. Confusing a normal filter (changes everyone's view) with a filter view (personal, does not affect others), the key collaboration distinction. Forgetting freeze keeps headers visible (BCA105) and protected ranges restrict editing of specific cells/tabs. These shared-spreadsheet controls are the exam focus for Sheets collaboration.
Theory
Sheets unit complete: data, done together
The team can now collect, calculate, chart and safely collaborate on the survey data, all in the cloud. That is the Sheets unit. Two more apps remain to finish the project: Slides for the presentation and Forms for actually collecting the survey responses. Slides brings your familiar presentation skills into the cloud, with the same live collaboration and sharing you now know well. Next: creating and editing slides.
Summary
Key takeaways
- Sheets sharing uses the same roles as Docs: Viewer, Commenter, Editor (least privilege).
- Freeze rows/columns (View > Freeze) keeps headers visible while scrolling (BCA105 freeze panes).
- Filter views let each collaborator filter their own view without affecting others (a normal filter changes everyone's).
- Protected ranges/sheets restrict editing of specific cells or tabs within a shared file.
- Use these to keep a multi-person spreadsheet orderly and safe.
- Memory hook: shared desk, personal magnifying glasses (filter views), glued-down labels (freeze).
