Death by PowerPoint

आपने भी ऐसी presentation झेली होगी: 40 slides, हर slide पर text की एक दीवार, presenter हर शब्द जोर से पढ़ रहा है, audience की तरफ पीठ करके, और आवाज़ बिल्कुल सपाट, जैसे कोई scale की तरह सीधी line।

सब जिंदा तो बच गए, पर किसी को कुछ याद नहीं रहा।

देखिए, presentation का मतलब सिर्फ slides बनाकर पढ़ देना नहीं है। ये तो एक performance है जिसमें 3 instrument होते हैं: आपके शब्द, आपकी आवाज़, और आपकी body, और slides तो बस stage का set हैं। इस topic में हम पूरा show सीखेंगे।

एक guided tour

एक अच्छा presenter बिल्कुल tour guide की तरह काम करता है: route पहले से plan किया हुआ (यानी structure), signboard छोटे और साफ (यानी slides), और guide visitors से बात करता है, उनके चेहरे देखता है, अपनी speed adjust करता है (यानी delivery)। कोई भी ऐसे guide के पीछे नहीं चलेगा जो उल्टा चलते हुए signboard जोर से पढ़ता जाए, पर slide-reader लोग बिल्कुल यही करते हैं।

Slides से पहले: audience और objective

Professional लोग कोई भी software खोलने से पहले 2 चीज़ें तय करते हैं:

  • Audience: ये लोग कौन हैं, इन्हें पहले से क्या पता है, कौन से example इन्हें समझ आएंगे? (classmates को APIs समझाना और किसी school visit को समझाना, दोनों में शब्द अलग होंगे।)
  • Objective: आपकी talk के बाद इन्हें क्या पता होना चाहिए, क्या feel होना चाहिए, या क्या करना चाहिए? Inform करना है, persuade करना है, train करना है या report करना है: एक main verb चुन लो।

आगे के सारे decision (content, language, visuals) इन्हीं 2 चीज़ों से निकलते हैं।

Theory

Route: intro, body, conclusion

  • Introduction: greet करो, अपना और topic का introduction 2, और preview 2 कि आगे क्या आने वाला है ("आज 3 चीज़ें...")
  • Body: 2 से 4 main points logical order में, और हर एक को fact, example, diagram या demo से support करो
  • Conclusion: points को summarise करो, core message फिर से बताओ, और साफ-सुथरे तरीके से खत्म करो (thanks + questions)

ये जो preview करो, फिर deliver करो, फिर summarise करो वाला pattern है, ये जान-बूझकर बनाया जाता है: audience को वो चीज़ याद रहती है जो पहले बताई गई कि आना है, और फिर आखिर में दोबारा बताई गई।

3 छोटे bullet points और एक diagram वाली slide

Slides speaker को support करती हैं, कभी replace नहीं करतीं: एक idea, छोटे bullets, और एक ऐसा visual जो सच में help करे। Paragraph वाली slides audience को पढ़ने पर मजबूर कर देती हैं बजाय सुनने के (और वो दोनों एक साथ नहीं कर सकते), animation का सर्कस ध्यान भटकाता है, और पूरी speech वाली slide वही death-by-PowerPoint बना देती है जिससे हमने इस topic की शुरुआत की थी।

Delivery: 3 Vs

Presentation की जो dynamics है, वो 3 channels में रहती है:

  • Verbal (आप क्या बोलते हो): साफ शब्द, सही technical terms, और अच्छे-सोचे-समझे examples
  • Vocal (कैसा सुनाई देता है): audible volume, moderate speed, और tone जो ऊपर-नीचे होता रहे: monotone तो अच्छे-से-अच्छे content को भी मार देता है
  • Visual (लोग क्या देखते हैं): सीधी posture, natural gestures, पूरे room में eye contact, और professional appearance

Audience तीनों Vs को मिलाकर believe करती है; और जब ये आपस में conflict करें, तो लोग शब्दों से ज्यादा आपकी आवाज़ और body पर भरोसा करते हैं।

मान लीजिए teacher assign करते हैं: "Cloud Computing पर present करो, 8 minutes, अगले हफ्ते।"

मन ही मन drafting के 6 steps चलाओ: हर step इस topic के लिए क्या produce करेगा? फिर tap करो।

1. Topic को तोड़ो: definition, कैसे काम करता है, advantages, real uses (2 से 4 subpoints)

2. Outline: इन्हें intro-body-conclusion में डालो

3. Collect: एक definition, एक diagram, examples (Google Drive, hotmail-to-datacentre वाली story)

4. Slides: हर subpoint के लिए एक slide, bullets + diagram

5. Speaker notes: सिर्फ keywords ("यहाँ Drive example")

6. जोर से rehearse करो, time लगाकर: 8 minutes का मतलब है लगभग 6 minute का content + थोड़ा buffer

यही recipe किसी भी assigned topic के लिए चलेगी, technical हो या न हो।

Time limit चाहे classroom हो या boardroom, hard constraint होता है; overtime जाने से marks भी कटते हैं और goodwill भी। तेज़ बोलने से vocal V खत्म हो जाती है, और conclusion छोड़ देने से वो summary कुर्बान हो जाती है जो audience को सबसे ज्यादा याद रहती है। Professional लोग rehearsal में CONTENT काटते हैं ताकि delivery शांत रहे: rehearsal होती ही इसीलिए है।

Practical-day checklist

जल्दी पहुँचो; projector, laptop और file test कर लो। File 2 तरीके से साथ रखो (pen drive + cloud)। एक confident greeting और साफ title slide से शुरू करो। एक-दो बार audience को engage करो (कोई question, या रोज़मर्रा की life का example)। एक summary slide पर खत्म करो और questions के लिए invite करो। और goal check करो: slide का count नहीं, understanding share करना है।

Watch out

4 mark-eaters

भरी-भरी slides (text की दीवारें, font का सर्कस), monotone या भागती हुई delivery, पीठ आधी घुमाकर slides पढ़ना, और time exceed करना। ये चारों rehearsal से ठीक हो जाते हैं, इसीलिए जो students 2 बार जोर से practice करते हैं, वो उन ज्यादा smart students से भी आगे निकल जाते हैं जिन्होंने रात के बारह बजे slides जोड़ी थीं।
