Verbal, non-verbal, written, visual, electronic, formal, informal: communication ના ઘણા forms છે, અને skill એટલે એ જ કે એ moment માટે સાચો form પસંદ કરવો.

Theory

એક જ સમાચાર, 4 રીતે પહોંચાડ્યા

ધારો કે તમારી team એ college નો hackathon જીત્યો. હવે તમે આ સમાચાર 4 જુદી જુદી રીતે share કરો છો:

  • roommate ને બૂમ પાડીને કહો છો
  • HOD ને certificate email કરો છો
  • results નો chart Instagram પર post કરો છો
  • class માં એમ જ મરક મરક હસો છો

સમાચાર એક જ, પણ 4 સાવ અલગ forms of communication, અને દરેક પોતાની audience માટે બરાબર બંધબેસતો હતો. કયો form વાપરવો એ પસંદ કરવાની જે આવડત છે, એ exam સીધી જ પૂછે છે.

Toolbox ના tools જેવું

એક mechanic દરેક bolt hammer થી નથી ખોલતો, ને? એ જ રીતે speech, writing, images ને body language પણ tools જ છે: ઝડપી discussion માટે speech, કાયમી record માટે writing, અઘરો data બતાવવા માટે visuals, ને લાગણી પહોંચાડવા માટે non-verbal signals. જે communicator કાચો હોય એની પાસે એક જ tool હોય; જે skilled હોય એ કામ પ્રમાણે tool બદલે.

Verbal: શબ્દો, બોલેલા હોય કે લખેલા

Verbal communication એટલે જ્યાં કામ શબ્દો કરે છે:

  • Oral: રૂબરૂ વાત, phone calls, meetings, lectures. ઝડપી, તરત feedback મળે, પણ કોઈ record નથી રહેતો.
  • Written: letters, emails, reports, notices. ધીમું, પણ કાયમી, ચોક્કસ ને પછી quote કરી શકાય એવું.

હવે એક trap: "verbal" માં writing પણ આવી જાય. ઘણા students માને છે કે verbal એટલે ફક્ત બોલેલું, ને true/false ના સહેલા marks ગુમાવે છે.

Written, verbal અને formal

એમાં શબ્દો વપરાય છે (verbal), લખાણમાં (written), ને official channel દ્વારા record સાથે જાય છે (formal). "verbal માં written પણ આવે" એ વાત જ મોટાભાગના students ને અહીં ફસાવે છે: verbal એટલે શબ્દો, અવાજ નહીં. Non-verbal હોત તો એ શબ્દો વગર જ કામ કરી ગયું હોત.

Non-verbal: શબ્દો સિવાયનું બધું જ

Non-verbal communication તમે બોલો છો એ દરેક શબ્દ સાથે સાથે જ ચાલતું હોય છે:

  • ચહેરાના હાવભાવ, gestures, posture
  • eye contact
  • અવાજનો tone, pace ને pauses

એ શબ્દોને support પણ કરી શકે ને contradict પણ કરી શકે: "I am fine" ખભા ઢળી ગયેલા ને સાવ flat અવાજમાં કહો, તો ઊલટો જ message જાય છે, ને સાંભળનાર લગભગ હંમેશા શબ્દો કરતાં body ને જ માને છે.

Think first

interview માં એક candidate બધા સાચા શબ્દો બોલે છે, પણ વારેવારે phone ચેક કરે છે, eye contact નથી કરતો ને ઢીલો બેસે છે.

Non-verbal જ, લગભગ હંમેશા. જ્યારે શબ્દો ને body એકબીજા સાથે disagree કરે, ત્યારે લોકો body ને જ માને છે: એને સતત fake કરવું અઘરું છે.

એટલે જ interview coaching માં answers કરતાં posture, eye contact ને tone પર વધારે time આપે છે. તમારા શબ્દો કહે "interested"; પણ તમારું phone ચેક કરવું કહે "bored", ને "bored" જ સંભળાય છે.

Formal vs informal, visual ને electronic

  • Formal: official channels, structured, record થાય એવું (memos, circulars, minutes). Decisions ને accountability માટે વપરાય.
  • Informal: casual ને personal (canteen ની ગપસપ, WhatsApp groups). ઝડપી, relationships બાંધે, પણ record નથી રહેતો ને અફવા ફેલાવાનો ડર.
  • Visual: charts, diagrams, slides, symbols; એક સારો graph આખા પાનાના numbers ની જગ્યા લઈ લે.
  • Electronic: email, video calls, messaging, social platforms; આજકાલ બાકીના બધા forms ને લઈ જવાનું default carrier આ જ છે.

Trends એ આકારો છે, ને આકારો એ visual વસ્તુ છે: chart બાર મહિના એક નજરમાં બતાવી દે, જ્યારે બોલેલા શબ્દો એનું interpretation આપે. Numbers મોટેથી વાંચો તો panel ગૂંગળાઈ જાય. Form selection એટલે જ message નો પ્રકાર (data trend) એને કુદરતી રીતે વહન કરે એવા form (visual) સાથે match કરવો.

Examiner જે selection rules ને marks આપે

Records ને decisions માટે formal written. ઝડપ ને clarification માટે oral. અઘરો data બતાવવા માટે visual. ને એ બધા માટે આજનું channel એટલે electronic. અને non-verbal તો ક્યારેય optional જ નથી: એ સતત broadcast કરતું જ રહે છે, એટલે એને તમારા શબ્દો સાથે મેળ ખાય એવું રાખો.

Classification ના 2 trap

Trap એક: verbal એટલે શબ્દો, એટલે written communication પણ verbal જ છે. Trap 2: informal એટલે નકામું નહીં; organisations morale ને ઝડપી unofficial news માટે informal networks પર જ આધાર રાખે છે, પણ જ્યાં record જોઈએ એવા decisions માટે ક્યારેય નહીં. Exam આ બંને distinction true/false ને match-the-column questions થી પૂછે છે.
