एक ही news, 4 अलग तरीके

मान लीजिए आपकी team ने college का hackathon जीत लिया। अब आप यही news 4 तरीकों से बताते हैं:

  • अपने roommate को चिल्लाकर बता दिया
  • HOD को certificate email कर दिया
  • results का chart Instagram पर post कर दिया
  • class में बस मुस्कुराते रहे, रुक ही नहीं पा रहे

News एक ही है, पर communication के 4 बिलकुल अलग forms हैं, और हर एक अपने audience के लिए सही था। कौन सा form चुनना है, यही एक skill है जो exam में सीधा पूछी जाती है।

Toolbox के tools की तरह

एक mechanic हर bolt को hammer से थोड़ी खोलता है। Speech, writing, images और body language भी ऐसे ही tools हैं: जल्दी की discussion के लिए speech, permanent record के लिए writing, complex data के लिए visuals, और feelings के लिए non-verbal signals. जिसे communication नहीं आती उसके पास सिर्फ एक tool होता है; जिसे आती है वो हर काम के हिसाब से tool चुनता है।

Verbal: words, बोले हुए या लिखे हुए

Verbal communication का मतलब है कि यहाँ काम words कर रहे हैं:

  • Oral: आमने-सामने बात, phone calls, meetings, lectures. तेज़ होता है, feedback तुरंत मिलता है, पर कोई record नहीं रहता।
  • Written: letters, emails, reports, notices. थोड़ा slow, पर permanent होता है, precise होता है और बाद में quote किया जा सकता है।

एक बात ध्यान से: "verbal" में writing भी आती है। बहुत सारे students समझते हैं कि verbal मतलब सिर्फ बोलना, और true/false के आसान marks यहीं गँवा देते हैं।

Written, verbal और formal

इसमें words इस्तेमाल हो रहे हैं (verbal), वो लिखे हुए हैं (written), और official channel से record के साथ जा रहे हैं (formal). यहाँ "verbal में written भी आता है" वाला point ज़्यादातर students को फँसा देता है: verbal मतलब words, voice नहीं। Non-verbal तब कहलाता जब बिना words के ही काम हो जाता।

Non-verbal: words छोड़कर बाकी सब कुछ

Non-verbal communication आपके हर word के साथ-साथ चलती रहती है:

  • चेहरे के expressions, gestures, posture
  • eye contact
  • आवाज़ का tone, pace और बीच के pauses

ये words को support भी कर सकती है और contradict भी। जैसे कोई कंधे झुकाकर, flat आवाज़ में कहे "I am fine", तो message बिलकुल उल्टा जाता है, और listener लगभग हर बार words से ज़्यादा body पर भरोसा करता है।

एक interview में candidate बोल तो सब सही रहा है, पर बार-बार phone check कर रहा है, eye contact नहीं कर रहा और झुककर बैठा है।

Non-verbal वाला, लगभग हमेशा। जब words और body अलग-अलग बात कह रहे हों, तो लोग body पर भरोसा करते हैं: उसे लगातार fake करना बहुत मुश्किल है।

इसीलिए interview coaching में answers से ज़्यादा वक्त posture, eye contact और tone पर लगाया जाता है। आपके words कह रहे हैं "interested"; पर आपका phone check करना कह रहा है "bored", और सुना "bored" ही जाता है।

Formal vs informal, visual और electronic

  • Formal: official channels, structured, recorded (memos, circulars, minutes). Decisions और accountability के लिए इस्तेमाल होता है।
  • Informal: casual और personal (canteen की गपशप, WhatsApp groups). तेज़ होता है, relationships बनाता है, पर record नहीं रहता और rumour जल्दी फैलते हैं।
  • Visual: charts, diagrams, slides, symbols; एक अच्छा graph पूरे एक page के numbers की जगह ले लेता है।
  • Electronic: email, video calls, messaging, social platforms; आजकल बाकी सारे forms इसी के ज़रिए चलते हैं, ये default carrier बन गया है।

Trends असल में shapes होते हैं, और shapes visual होते हैं: एक chart बारह महीने एक नज़र में दिखा देता है, जबकि spoken words उसका interpretation बता देते हैं। Numbers ज़ोर से पढ़ने पर panel ऊब जाता है। Form select करना मतलब message के type (data trend) को उस form से match करना जो उसे naturally carry करे (visual)।

Selection के rules जो examiner को पसंद आते हैं

Records और decisions के लिए formal written. Speed और clarification के लिए oral. Complex data के लिए visual. और इन सबका modern channel है electronic. Non-verbal तो कभी optional होता ही नहीं: वो हमेशा broadcast होता रहता है, इसलिए उसे अपने words से agree करवाइए।

Watch out

Classification के 2 traps

Trap एक: verbal मतलब words, इसलिए written communication भी verbal ही है। Trap 2: informal का मतलब बेकार नहीं होता; organisations informal networks पर morale और तेज़ unofficial news के लिए भरोसा करती हैं, पर उन decisions के लिए कभी नहीं जिनमें record चाहिए। Exam में दोनों distinctions true/false और match-the-column से पूछे जाते हैं।
